🕒 Arrival & Check-In

We kindly ask that patients arrive at least 10 minutes prior to their scheduled appointment. This ensures there is adequate time to:
Complete any required paperwork
Update contact details
Allow the nurse to record vitals (e.g., blood pressure)
Change clothing if necessary
Please bring your Alberta Health Care card to every visit.
If you are an existing patient, let our staff know as soon as possible if your contact information has changed.

🚶Walk-In Policy

We understand that sometimes you need care on short notice. We aim to offer same-day or next-day appointments, when available, to ensure timely access for our patients.
⚬ Same-day availability is limited and not guaranteed.
⚬ Priority is given to patients whose family physician is with Southcentre Family Medical Clinic.
⚬ Walk-in availability varies day to day and is based on physician capacity.
If you are not currently a registered patient at our clinic, we encourage you to book a meet-and-greet appointment to discuss your health needs and explore becoming part of our ongoing care community.

⏳ Wait Times

Our team strives to run on schedule and minimize wait times. However, as a medical clinic, urgent or unforeseen circumstances may arise.
We appreciate your patience and understanding should delays occur.

🤝 Waiting Room Etiquette

We want all patients to feel welcome and comfortable while waiting. Please help us maintain a respectful and safe environment:

  • Be mindful of others’ personal space
  • Children must be supervised at all times
  • Ensure children do not climb or jump on furniture
  • Do not block entrances or allow children to play near doors
  • Avoid lying across chairs or benches
  • Keep electronic devices on silent
  • Keep personal belongings with you

📬 Updating Contact Information

If your phone number, address, email, or emergency contact changes, please inform clinic staff so we can keep your records current.

🔐 Confidentiality

Your personal health information is handled with the utmost care and in accordance with privacy legislation.
If a third party (e.g., a family member, lawyer, or insurance company) requires access to your medical information, we require your written consent.

💊 Prescription Refills

To ensure continuity and safety of care, prescription refills must be managed through an appointment (in-person or virtual).

No refills will be processed via email or messaging

We do not provide Phone-in refill requests (without an appointment). An appointment must be made.

Please book your appointments early to avoid interruptions in medication.

 

❌ Cancellation & Missed Appointment Policy

We require at least 2 full business days’ notice to cancel or reschedule an appointment.

  • Missed or same-day cancellations will be charged $50–$300, based on appointment length.

  • Invoices must be paid before future appointments can be booked or attended.

  • Any upcoming appointments will be cancelled if a no-show fee remains unpaid.

We understand emergencies happen—please contact us as soon as possible. Exceptions may be made in genuine cases (e.g., labour, hospitalization).

Thank you for helping us respect our providers’ time and serve other patients promptly.

⏱️ Lateness

To respect our clinic schedule:
Late arrivals may have their appointment time shortened
Patients arriving 10+ minutes late may be asked to reschedule
Physicians may still choose to accommodate late patients at their discretion

📋 Uninsured Services

Our clinic follows the Alberta Medical Association’s Uninsured Services guidelines.
These include services such as sick notes, form completion, and administrative letters.
